Position Description : Part time assistant / coordinator
CESS Institute is an applied research institute on development and poverty reduction issues. We also provide technical assistance to Developing and Emerging countries governments. We are looking for an part time assistant / coordinator for our Quebec, Canada office
Duties. The successful candidate will be the assistant / operations’ coordinator. She/he will have three main responsibilities: (i) coordinate the reply to tenders; (ii) provide administrative assistance to the consultancy teams for the implementation of assignments; and (iii) manage the administrative tasks of the Headquarters.
Specifically, the successful candidate will:
(i) Coordinate the reply to tenders:
• Research, on specialized websites, requests for proposals/tender announcements relevant to CESS.
• Draft tender dossiers, coordinate the submission and follow-up on responses
(ii) Provide administrative assistance to the team for project implementation
• Organize the mission of the project teams
• Provide assistance to the project teams on project implementation
• Format, edit and finalize project reports;
• Provide research assistance (literature review, data gathering,…) and data analysis
(iii) Manage the administrative tasks of the Headquarters
• Administrative management of the office (copy, fax, mail,…)
• Organize the office agenda to coordinate work and meetings
• Assist the president in the organization of the office
• Manage CESS institute’s website
• Reply to e-mails and other correspondence
• Maintain an inventory of office furniture/material
Qualifications and Selection criteria:
• At least a first degree (Diplôme d’études professionnelles, DEP) preferably in business administration, finance, economics or statistics
• Bilingual in English and French (written and spoken)
• At least two years of relevant experience
• Good knowledge of the Microsoft Office (Word, Excel, PowerPoint) and Adobe Acrobat
• Good knowledge of of planning and management and general administration of an office
• The following skills would be an advantage: Ability to communicate effectively;
• Rigor and respect of confidentiality and deadlines;
• Ability to follow written and verbal instructions
